Q: How do I know my documents are safe?

Q: How do I know my documents won’t get lost or mixed up with someone else’s?

A: Every item at Avery Archives is barcoded. These barcodes are assigned specifically to an account. This also helps ensure the anonymity of your documents. Each location throughout our facility is also barcoded. This ensures that we know the exact location of each and every box, or file at all times. Every time something is moved, it is scanned into a new location. We track everything from the time it gets picked up, unloaded, put on a shelf (in a slot), pulled down, and delivered. Through the power of this barcode system, we can give you time, day, and persons involved in every movement of your item.

Q: How long will it take for me to retrieve a box, or file?

A: Standard service is within 24 hours. Priority service is also available, which will get you your order on an ASAP delivery within an hour.


Q: Do I have to use Avery Archives inventory sheets, if I already have my inventory on my computer?

A: No, if you already have a complete listing of your files and boxes you can just add the Avery Archives barcode number onto the listing, then email or fax it straight to your records management expert. Our software can import information from most other programs directly into our Track Record system.

Q: How do I retrieve a box or file?

A: To place an order, simply phone, fax or email us. Be sure to always include your name, company name, and phone number, and time needed on all requests.

Q: How can I ensure that access to my documents or files is limited?

A: At Avery Archives, we have an authorized persons list. This list allows only authorized personnel at your company to request items for viewing and/or delivery. Any persons not on this list will be prohibited from accessing any document or file.

Q: How are my documents shredded and what is done with the remains?

A: At Avery Archives we use state-of-the-art mobile on-site shredding trucks designed for high volume shredding. Our trucks come to your site and destroy the records right there on the truck! Our employees will transfer the records from your office or building to the shredding truck. The records will be shredded as you watch. You’ll sleep better knowing “it was absolutely destroyed.” Once the documents are shredded they are then brought back to our facility where the shredded paper is then baled and shipped to paper mills for recycling.

Q: What is digital imaging?

A: Digital imaging is the process of using document scanning software and high-speed document scanners to convert an image of the paper to a digital picture. These electronic images can then be indexed and stored in a document storage system, which gives your users the ability to search through millions of documents in a matter of moments.

Q: Once my documents are digitally imaged, what format are they put in to view?

A: They are converted to PDF’s, which are capable of viewing by Adobe Acrobat Reader, a free software downloaded from the internet.
